Privacy Policy

This Privacy Policy explains how Ourtermin, Vienna, Austria (“we”, “us”) processes personal data in connection with our website and booking platform, in accordance with the EU General Data Protection Regulation (GDPR). Contact: hello@ourtermin.com.
1. What we process, and why
Trial requests and enquiries: business name, contact name, email, phone, and the details you submit. Purpose: responding to your request and setting up your trial. Legal basis: pre-contractual measures (Art. 6(1)(b) GDPR).
Business customer accounts: login email, business profile, configuration, and usage necessary to operate the service. Legal basis: performance of contract (Art. 6(1)(b) GDPR).
Bookings on sites we host: when you book an appointment on a business's booking site (including our demo sites), the booking details you enter (name, email, phone, address, requested service and time, optional photos and notes) are processed to handle that booking. For our own demo and product-demo bookings we are the controller; for our business customers' sites we process this data on the business's behalf as processor — the business is your controller.
Technical data: server logs (IP address, timestamps, requested pages) for security and operations. Legal basis: legitimate interest (Art. 6(1)(f) GDPR).
2. Where your data lives
The platform and its databases are hosted in the European Union. Emails (booking confirmations, receipts, notifications) are sent through an email delivery provider under a data-processing agreement.
We use a small number of sub-processors for hosting, database, storage, and email delivery. A current list is available on request.
3. What we don't do
We do not sell personal data. We do not use it for third-party advertising. Businesses using Ourtermin may configure their own analytics on their own sites; on those sites, their privacy policy applies alongside this one.
4. Retention
We keep personal data only as long as needed for the purposes above: trial requests until handled and then for a reasonable follow-up period; account and booking data for the duration of the customer relationship; log data for a short rolling window. Statutory retention duties (e.g. for invoices) remain unaffected. Business customers' data is deleted on request after termination.
5. Your rights
Under the GDPR you have the right to access, rectification, erasure, restriction of processing, data portability, and objection to processing based on legitimate interest. Where processing is based on consent, you may withdraw it at any time with effect for the future.
To exercise your rights, contact hello@ourtermin.com. You also have the right to lodge a complaint with a supervisory authority; in Austria this is the Datenschutzbehoerde (dsb.gv.at).
6. Cookies
Our platform website uses only technically necessary storage (for example, remembering your light/dark preference). We do not set tracking cookies on our own site.
7. Changes
We will update this policy when our processing changes and note the effective date above.
